Our privacy notice explains how Westfield Mission deals with and uses your personal information
(your data). We would like to make sure that everyone who comes into contact with Westfield Mission is aware of how the information
you provide to us is used and your rights of what to do if you have any questions or concerns.
So, what is it your personal data?
Personal data relates to a living
individual who can be identified from that data. Identification can be by the information alone or in conjunction
with any other information in the data controller’s possession or likely to come into such possession. The processing
of personal data is governed by the General Data Protection Regulation (the “GDPR”) coming into effect all across
the European Union in May 2018.

Who are we?
In relation to this policy Westfield Mission, Brundall is called the ‘data controller’ (contact details
below) and this means it decides how your personal data is processed and for what purposes.
How
do we process your personal data?
As a church we carried out a comprehensive data audit of the information
we currently have and of what is retained and for how long in order to meet the requirements of the regulations and for the
ongoing life and work of the Mission.
Currently, Westfield Mission will only obtain personal data
that is necessary for the work and activities of the church including mailing seasonal greetings and calendars. This data
is held on password protected computers, an external data storage device or written record within the home of individual leaders/trustees.
What
is the legal basis for processing your personal data?
For this purpose the information we hold is
mostly of a ‘Legitimate Interest’ and ‘Legal Obligation’ under the GDPR legal basis for keeping information
to use in the life of the church. Although there is the scenario of obtaining information by way of an agreed ‘Contract’
with hirers for use of the Mission other than by the Trustees, membership, supporters, friends and visitors.
So, what
information do we obtain?
Simple contact information provided by individuals, such as name, address, telephone
number(s), email address and information required for Gift Aid declarations.
Do we share your
personal data?
Your
personal data will be treated as strictly confidential and will only be shared with other members of the church in order to
carry out a service to other church members or for purposes connected with the church. We do not share your personal data with third parties outside of the church except under our legal
obligations to HMRC and the Charity Commission in particular where processing is necessary in relation to Gift Aid and Trustee
information respectively and to our solicitors when legal work is required.
How long do we keep
your personal data?
The data we retain while still relevant is kept for up to 6 years after the calendar
year to which they relate under our obligations to HMRC for gift aid declarations and associated paperwork. All other information
is retained until deemed no longer required for the active ongoing life of the church.
Your
rights and your personal data
With respect to your personal data under the
GDPR regulations each individual has the following legal rights:
· request a copy of your personal information that Westfield Mission
has about you

request that any
personal information is corrected if it is found to be inaccurate or out of date
· request your personal data is removed or erased where it is no
longer necessary for the church to retain such data unless required by legal obligations
· to withdraw your consent or request a restriction
is placed on further processing of your information at any time
Will there be any further processing?
In the highly unlikely occurrence that we would need to use
your personal data for any new purpose that is not covered by our Data Privacy Notice, then we will provide you with a new
notice explaining this new usage prior to commencing the processing and setting out the relevant purposes and processing conditions.
So, where and whenever necessary, we will seek your prior consent to any new processing.
